1. Who we are

Night Shift Buddy is operated by Veianya Hansen (“we”, “us”). We are the data controller for personal data described in this notice. You can reach us at the support contact shown on our website.

2. Data we collect and why

  • Shift and preference data (start and end times, encouragement style, optional personalisation note). Stored in your browser to run the countdown and messages. Legal basis: performance of our contract with you.
  • Crew Mode data (a randomly generated device identifier, the display name you choose, your shift times and on/off status, and short notes you post). Stored on our servers so crew members can see each other. Legal basis: performance of our contract with you.
  • Encouragement prompts sent to our AI provider when you enable AI-written messages, including any personalisation text you enter. Legal basis: performance of our contract; please do not enter sensitive or health information.
  • Purchase records (transaction reference and unlock code) for the one-time Crew Mode unlock. Legal basis: contract performance and legal obligation.
  • Technical data such as IP address and device/browser information processed by our hosting provider for security, abuse prevention, and reliability. Legal basis: legitimate interests.

We do not ask for your name, employer, job title, or any health information.

3. Who we share data with

  • Paddle.com Market Ltd, our Merchant of Record, for the sale of Crew Mode, payments, invoicing, tax compliance, and refunds. Paddle collects and handles your payment details directly under its own privacy policy.
  • Service providers for hosting, database storage, and AI text generation, acting on our instructions.
  • Professional advisers (legal, accounting) and authorities where required by law.

We never sell your personal data. Some providers operate outside your country; where data leaves the UK/EEA we rely on adequacy decisions or Standard Contractual Clauses.

4. Retention

Shift and preference data stays in your browser until you clear it. Crew Mode records are kept while the crew is active and deleted or anonymised within 12 months of the last activity, or sooner if you leave the crew. Purchase records are kept for as long as required by tax and accounting law (typically 7 years).

5. Your rights

Depending on where you live, you may request access to your data, correction, erasure, restriction, portability, or object to processing, and withdraw consent at any time. Contact us and we will respond within one month. You also have the right to complain to your local data protection authority.

6. Security

We use appropriate technical and organisational measures, including encryption in transit, access controls, and row-level database restrictions. No system is perfectly secure, but we work to protect your data.

7. Cookies and local storage

We use only essential browser storage to remember your shift, preferences, and Crew Mode unlock. We do not use advertising or tracking cookies. You can clear this data at any time in your browser settings.

8. Changes

We will update this notice when our practices change and revise the date above.
